    The company

A $22M ARR SaaS company, Series A funded, with 85 employees. They had a strong VP of Finance but no dedicated CFO. Board meetings happened quarterly, and investor updates went out monthly — both requiring extensive manual report preparation using spreadsheets and slide decks.

    The challenge

Every board meeting required 5 days of preparation. The VP of Finance manually pulled data from Stripe (revenue), their HRIS (headcount costs), QuickBooks (operating expenses), and Salesforce (pipeline). She then reconciled the numbers, built financial models in Excel, and created a 30-page board deck in Google Slides.

The real problem wasn't just the time — it was the lag. By the time the board saw the numbers, they were 2–3 weeks old. There was no real-time visibility into critical SaaS metrics: MRR, net revenue retention, burn rate, or runway. When a board member asked an ad hoc question during the meeting, the answer was always 'I'll get back to you on that.'

The company's Series A investors were pushing for more financial rigor and faster reporting. The CEO needed a fractional CFO-level presence without the $250K+ annual cost of a full-time hire.

    What we built

We provided fractional CFO services paired with AI-powered financial infrastructure. The first step was building a real-time financial dashboard that pulled data automatically from Stripe, QuickBooks, the company's HRIS, and Salesforce. The dashboard tracked 12 KPIs including MRR, net revenue retention, gross margin, burn rate, runway, CAC, LTV, and department-level spend.

The second component was an automated board deck generator. Using the real-time data, the AI agent produced a formatted, investor-ready board deck that included financial statements, KPI trends, variance analysis, and forward-looking projections. The VP of Finance reviewed and customized in 30 minutes instead of building from scratch over 5 days.

Third, we built a cash runway forecasting model that updated daily based on actual revenue, committed expenses, and pipeline-weighted bookings. The model ran Monte Carlo simulations to provide probability-weighted runway estimates — giving the CEO and board real confidence in their cash position.

The CEO reported that board meetings became dramatically more productive — less time presenting numbers and more time on strategic discussion. The VP of Finance was able to reallocate the equivalent of one full week per month to strategic projects. The investors specifically praised the improvement in financial transparency during the next board meeting.

Can AI replace manual board report preparation for SaaS companies?

For this $22M SaaS company, AI-powered dashboards and automated deck generation reduced board report prep from 5 days to 30 minutes, provided real-time visibility into 12 KPIs, and identified $180K/year in cost optimization opportunities — all without hiring a full-time CFO.
